Where it is required to complete a CONTRACT
We may use and process your personal information where we have supplied you (or continue to supply you) with any products or services, or where you are in discussions with us about any new product or service. Please see What do we do with your personal information above for details of the types of personal information we process for these purposes.
Data anonymisation and use of aggregated information
We may use your information, such as your IP address, for the purpose of carrying out web analysis with Google Analytics. Where this is the case, it will be used in a completely anonymised way so as to ensure that you are not identified or identifiable from it. Where we anonymise information in this way, it is no longer classed as 'personal data' and, therefore, the data protection laws no longer apply.
Our use of aggregated information with Google Analytics is to ascertain, amongst other things:
- total number of visitors per week;
- total number of sessions per week;
- average time spent on the website;
- average number of pages navigated;
- bounce rate;
- distribution of visitors between different countries.
Where we use aggregate personal information, we ensure that it cannot be linked back to you as an individual. We may use this data for analytical and research purposes.
Others who may receive or have access to your personal information
Our suppliers and service providers
We may disclose your information to our third party service providers, agents, subcontractors and other organisations for the purposes of providing services to us or directly to you on our behalf. Such third parties may include providers of our relationship management system (currently, Salesforce), cloud service providers (such as hosting and email management), administrative service providers, technical support agents, network providers, contact centres, installers or IT service providers and other third parties who provide services to us. These third parties are all located in the (“EEA”) (meaning, the 27 EU member states, the UK, Norway, Iceland and Liechtenstein).
When we use third party service providers, we only disclose to them any personal information that is necessary for them to provide their service and we have a contract in place that requires them to keep your information secure and not to use it other than in accordance with our specific instructions.
Third parties who provide products and services
In processing your order and/or handling your account, we may send your details to, and also use information received from, credit reference agencies and fraud prevention agencies.
Other than as stated above, we do not share any personal information collected through our website with any third parties. Should this position change, we will make clear what third parties any personal information is shared with and for what purpose(s).
Other ways we may share your personal information
We may transfer your personal information to a third party as part of a sale of some or all of our business and assets to any third party or as part of any business restructuring or reorganisation. We may also transfer your personal information if we’re under a duty to disclose or share it in order to comply with any legal obligation, to detect or report a crime, to enforce or apply the terms of our contracts or to protect the rights, property or safety of our visitors and customers. We will always take steps with the aim of ensuring that your privacy rights continue to be protected.
Where we store your personal information
Where information is sent to info@albumedix.com, this is stored on our secure Microsoft central servers. If the enquiry is in relation to product sales or any other relevant business opportunity, we may store this information on Salesforce servers in the UK (as may be replicated at secondary Salesforce server locations in Germany or France). When we receive information in relation to job applications at career@albumedix.com, this information is stored in accordance with our Applicant Privacy Notice. Please see Our suppliers and service providers section for details regarding the locations of our third party service providers.
If at any time we transfer your personal information to, or store it in, countries located outside of the EEA we will ensure that appropriate safeguards are in place for that transfer and storage as required by applicable law. This is because some countries outside of the EEA do not have adequate data protection laws equivalent to those in the EEA.
If you use our services whilst you are outside the EEA, your information may be transferred outside the EEA in order to provide you with those services.
How long we keep your personal information for
If we collect your personal information, the length of time we retain it is determined by a number of factors including the purpose for which we use that information and our obligations under other laws. We do not retain personal information in an identifiable format for longer than is necessary.
